A core focus for our transparency framework is to ensure that basic, beneficial ownership and controller information is adequate, accurate and up-to-date, and can be made available to competent authorities on a timely basis.
Our Registry examination officers meet with relevant individuals and review documentation related to the entity and its significant persons. We use this information to confirm that the data recorded on the Registry database is accurate.
This feedback paper summarises insights on the visit programme for Q3 2025.
Findings identified
- inaccuracies in recording joint ownership of shares
- incorrect and outdated information in the statutory registers
- significant person details being overlooked when circumstances changed
- inadequate identification of executors where the beneficial owner is deceased
- failure to disclose the individuals controlling a corporate trustee where it is not regulated by us
- registry filings not being made within the required 21-day period
Good practice
- ensure any changes made to an associated party are updated in our register within the 21-day time frame
- if a beneficial owner, significant person or members is linked to multiple companies and their details change, you can use the myParties feature in myRegistry to create a central file and apply it across all associated companies without duplication
- when recording joint ownership, only record the first named individual as member and in the joint ownership box add the name of additional member
